Kaiser Permanente Hearing Service Supervisor in Honolulu, Hawaii

Plans, organizes, and coordinates all daily clinical operations of New Ventures program activities. Serves as resource for subordinates in handling clinic operational issues. Establishes and oversees departmental clerical operation standards. Identifies and corrects deficiencies in work procedures. Evaluates and prioritizes needs. Delegates work assignments.

Essential Functions:

  • Plans, organizes, and coordinates all daily clinical operations of New Ventures program activities.

  • Maintains provider schedules and masters.

  • Informs supervisor of scheduling changes and problems that adversely affect patient care.

  • Ensures telephones answered, appointments scheduled, and patients registered, performing such duties as necessary.

  • Ensures patients' needs are met.

  • Coordinates seminars.

  • Assists patients with enrollment, answers questions and provides information.

  • Calculates charges and discusses payment arrangements with patients.

  • Coordinates process and tracking of patient payments with cashiers, business office and New Ventures staff.

  • Serves as staff resource for clinic operational issues.

  • Serves as primary resource for all non-medical program issues and questions.

  • Provides non-medical education to patients.

  • Acts as liaison between internal and external staff.

  • Resolves problems as appropriate.

  • Coordinates problem resolution with supervisor and/or appropriate physicians as needed.

  • Establishes standards for clerical area.

  • Ensures scheduled appointments are communicated to appropriate staff.

  • Ensures medical records are documented completely and processed appropriately.

  • Oversees adherence to departmental work standards.

  • Provides feedback to supervisor, as needed.

  • Identifies and corrects deficiencies in work procedures.

  • Assists in development and documentation of department policies and procedures.

  • Recommends and implements solutions.

  • Coordinates reproduction and distribution of educational and marketing materials to clinics.

  • Participates in development of marketing materials and patient education materials.

  • Implements new programs, special prices and packages.

  • Coordinates communication and distribution of informational materials to customers, staff and affected areas.

  • Delegates appropriate responsibilities to designated staff.

  • Ensures timely completion of assigned tasks and duties.

  • Evaluates needs and prioritizes work assignments as daily work loads dictate.

  • Develops work schedules.

  • Collaborates with physicians to evaluate patient flow, appointment length and schedule accommodations.

  • Ensures adequate staffing for all shifts/assigned areas.

  • Approves overtime and vacation as needed.

  • Manages physician schedules to meet departmental goals.

  • Reviews and approves timecards.

  • Monitors utilization of departmental equipment, supplies, and other resources.

  • Requests and replenishes materials and supplies to ensure adequate inventory.

  • Calibrates office equipment as needed.

  • Coordinates repair of equipment as appropriate.

  • Manages inventory system.

  • Compiles and analyzes survey and departmental data.

  • Prepares reports.

  • Monitors and evaluates quality of service through patient follow up calls and surveys.

  • Creates database in conjunction with staff.

  • Assists physicians, nurses, and ancillary staff as appropriate/requested.

  • Hires, trains, supervises, counsels, disciplines, and terminates assigned staff as appropriate.

  • Communicates goals, objectives, accountabilities, priorities, and authority parameters to assigned staff.

Basic Qualifications:

Experience

  • Minimum two (2) years of customer service experience.

  • Minimum one (1) year of clinic experience.

Education

  • Bachelor's degree in business administration or related field required, OR four (4) years of experience in a directly related field.

License, Certification, Registration

  • N/A

Additional Requirements:

  • Demonstrated knowledge of and skill in adaptability, change management, creativity/innovation, decision making, customer service, group presentations, interpersonal relations, oral communication, problem solving, quality management, teamwork, and written communication.

  • Demonstrated knowledge of and skill in word processing, spreadsheet, and database PC applications.

Preferred Qualifications:

  • Supervisory/lead or project management experience.

  • Patient care experience (e.g., medical assistant).

  • Knowledge of Kaiser appointment scheduling system.

  • Demonstrated knowledge of and skill in desktop publishing, designing multimedia presentations and marketing materials.
